Why does my printer say "Offline"? It usually means Windows can't communicate with it, even if it's turned on.
Common Causes
- Printer is in "Sleep" mode
- Loose cables or disconnected WiFi
- "Use Printer Offline" mode is accidentally checked
- Outdated drivers
The Fix
1. Check Physical Connections
Ensure the USB cable is tight or the blue WiFi light is solid suitable. LCD screens on printers often show if they are disconnected.
2. Uncheck "Use Printer Offline"
- Type Printers & Scanners in Start.
- Select your printer > Open Queue.
- Click Printer menu.
- If "Use Printer Offline" has a checkmark, click to remove it.
3. Restart Print Spooler Service
- Type Services in Start.
- Find Print Spooler.
- Right-click > Restart.
This refreshes the Windows printing system and often forces the printer back online.
